Representative Support

  • Visit with client when they arrive (understand the objective to build/nurture relationship)
  • Keep Rep informed of personal events happening in client’s life (birth of grandchild, death of loved one, death of pet, surgery, anniversary, etc.)
  • Manage CRM database and organize (training on CRM will be provided)
  • Make copies of client statements, driver’s licenses and other information needed for new client signing preparation
  • Review reps CRM Dashboard and identify items that need to be addressed/ handled, confirm the task is completed, write appropriate notes in activity and mark as complete
  • Meet with rep to review New Business instructions when preparing to meet with new clients
  • Manage Account Proposals
  • Prepare New Business documents
  • Meet with Client(s) to review new business documents and obtain signatures
  • Obtain rep signatures on paperwork
  • Handle client inquiries directed to Rep (received via phone calls, fax, e-mail and office visits). Once information is obtained from client to determine what the inquiry entails, take appropriate course of action (i.e., answer question directly, discuss with rep, prepare documents needed, etc). Review details with rep as FYI.
  • Prepare withdrawal worksheets for rep review when needed
  • Respond to any requests from B/D OR Sponsor Company for new business that has been submitted, request additional information from rep if needed
  • Review dictations
    • Post to client record
    • Schedule tasks as appropriate
  • Perform all file related Follow up tasks
    • Process New Business
    • Contact Sponsor Companies and Contra Firms
    • Contact clients weekly to advise of status
    • Schedule Recommendations and Initial Review appointments

  • Perform all file related Follow up tasks

  • Handle client initiated requests. These include questions regarding
    • Taking withdrawals
    • Making additional deposits
    • Reviewing contract specific riders
    • Establishing ACH instructions/periodic distributions from LPL/third party accounts
    • Beneficiary Updates/Reviews
  • Meeting with clients to:
    • Establish on-line access to various Sponsor Company websites
    • Review/explain different pieces of mail received
    • Organize Welcome Kit Binder
  • Documenting client contact in CRM tool and appropriate Files
  • Prepare Tabs for clients as new accounts are established

Administrative Support

  • Assist with answering phone calls/delegating faxes to appropriate persons
  • Filing of client statements and files
  • Assist other team members in preparing documents for client signature, returning calls, scheduling appointments, scheduling prospect/client attendance at seminars, or any other support as needed
  • Scanning and attaching documents in Salesforce
  • Assist with greeting incoming clients and offering beverages/cookies
  • Assist with checking on reps/clients during meetings
  • Assist with organizing prospectus closet
  • Assist with various “Special Projects”- i.e., RMD report, Advisor Assistant transition/review of data, standardizing various abbreviations/information, etc.
  • Provide training/support throughout the day for other team members as questions/situations arise

Industry Knowledge

  • Read, analyze, and interpret industry related periodicals, professional journals, technical procedures, etc.
  • Keep a log of articles reviewed and questions you would like to discuss with PALEN FINANCIAL

Client Events/Marketing

  • Assist with marketing/client events
  • Help design and update company marketing materials, print advertisements and website
  • Prepare, fold, insert envelopes, seal, stamp, and send packages and other mail correspondence
  • Help to coordinate special events, promotions and seminars
